Work Hours: Monday - Friday 8:00am – 5:00pm
Occasional evening and weekend hours are required during peak times

Job Summary:

Reporting to the Vice Chancellor for Communications and External Affairs, the Assistant to the Board of Trustees plays a critical role in supporting the Board in advancing the mission of the College. This executive-level position requires a professional with exceptional judgment, integrity, and discretion to manage high-level, confidential administrative functions, and facilitate seamless communication between the Board, the Chancellor, General Counsel, and key institutional stakeholders. The ideal candidate will bring a high degree of professional maturity, executive presence, and leadership, thriving in high-profile environments with a commitment to excellence. This role demands meticulous attention to detail, strategic problem-solving, and the ability to navigate complex institutional dynamics with tact, diplomacy, and discretion.

Primary Duties and Responsibilities:

Essential Performance Requirements*
Uses project management-related processes to administer Board of Trustees meetings, retreats, and related events, including logistics, materials, and communications from planning and development through follow-up
Prepares and distributes agendas, meeting minutes, bylaws, policies, and other public documents in accordance with applicable laws and regulations
Attends all board gatherings to provide on-site administrative support and identify and oversee all follow-up items in coordination with the Vice Chancellor
Manages a system for organizing Board records and actions and manages information in electronic portals with prompt archive management
Works closely and collaboratively with college executives to remain abreast of changes in applicable governing board laws for Board activities to adhere to applicable laws, policies, and procedures
Prepares and processes accounting, budgeting, and purchasing documents related to operations and activities of the Board of Trustees Office
Prepares and coordinates new Board member orientation and onboarding, providing information on business practices, procedures, meetings, and other activities of the Board of Trustees Office
Manages special projects assigned by the Chancellor's Office, translating complex tasks into actionable steps and effectively managing changing priorities
Schedules appointments, manages travel arrangements, and processes reimbursements for individual Board members, providing high-touch customer service
Manages communication between Trustees and College executive leadership and responds to ad hoc requests related to the Board
Maintains standards of confidentiality in accordance with the College, FERPA, student records, and other protected documentation

Service Excellence
Participates on behalf of the College in external community organizations and associations as assigned to support the Essential Performance Requirements*
Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of College projects
Completes all required training and professional development sessions sponsored through Tarrant County College (TCC)
Supports the mission, vision, values, and goals of the College

Supervision
Works under the general supervision of the Vice Chancellor for Communications and External Affairs.

*Performs Other Related Tasks as Required

Required Minimum Qualifications:

Master's Degree
Five (5) years of working experience related to the Essential Performance Requirements
Five (5) years of working experience supporting C-suite executives


Preferred Qualifications:

Doctoral Degree
At least one (1) year's working experience supporting a governing board or body or working directly for a CEO
At least one (1) year's working experience performing the Essential Performance Requirements in higher education

Knowledge, Skills and Abilities:

Knowledge of project management-related practices to support the completion of projects
Skilled in analyzing challenges and proactively solving problems with strong decision-making capability that aligns with goals and governance standards
Skilled using Microsoft Office and maintaining governance tools; able to quickly learn new technologies for improved performance and productivity
Skilled in breaking down complicated initiatives into more simple, achievable activities to complete projects accurately, with quality, and in a timely manner
Skilled in customer service delivery and interpersonal relationships, with the ability to develop and nurture strong connections with Board members, college executives, and external stakeholders, fostering collaboration and driving effective partnership
Ability to manage sensitive and confidential information with complete professionalism, ensuring that Board and college executive-related matters are handled securely and with absolute discretion
Ability to articulate and communicate complex ideas and information clearly and professionally, including drafting Board materials, editing minutes, or engaging with senior leaders and other stakeholders
Ability to display agility and resilience in meeting critical deadlines, coordinating intricate schedules, and managing multiple priorities and projects with excellent attention to detail
Ability to be a resourceful team player, and to work extremely effectively in a self-directed manner
Ability to work flexible hours that may include evenings and weekends
