Job Summary:
This role is responsible for managing Records Center operations, services, programs, record holdings, and assigned staff while supporting the College’s records management, information governance, compliance, retention, storage, and disposition functions.
Primary Duties and Responsibilities:
Essential Performance Requirements*
⦁ Evaluates incoming physical and e-records for retention, storage, and final disposition needs
⦁ Trains staff in records management procedures and policies, including documentation and digitization
⦁ Interacts closely with the College community to confirm service and compliance with recordkeeping practices and regulations, while also safeguarding the confidentiality of sensitive information and maintaining access authorization and chain-of-custody protocols
⦁ Coordinates with IT departments to ensure that enterprise systems are storing record properly or being sent to appropriate repository, retention schedules are enforced, and records management protocols are being maintained
⦁ Assists the Records Management and Archives (RMA) team with special projects and program development; aids in organizing and conducting training workshops, and assists in reviewing and updating departmental procedures and publications
⦁ Oversees the shred bin program and services, including maintaining a complete inventory of bins, their locations, sizes, and campus contacts, as well as scheduling and monitoring shred bin services
⦁ Schedules and oversees record transports to and from College facilities
⦁ Coordinates the timely release of record copies for legal and public information requests
⦁ Evaluates and recommends new records management technologies and equipment
⦁ Conducts periodic audits to ensure proper record keeping
General Supervision and Management
⦁ Oversees daily work activities, provides training and guidance, monitors performance, and ensures work is completed accurately and efficiently
⦁ Performs advanced or more complex functional work alongside staff while supporting departmental operations and service delivery
⦁ Provides direct day-to-day leadership and guidance to staff to support effective task completion and employee development
Service Excellence
⦁ Participates on behalf of the College in external community organizations and associations as assigned to support the essential performance requirements
⦁ Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
⦁ Completes all required training and professional development sessions sponsored through Tarrant County College (TCC)
⦁ Supports the mission, values, goals, and principles of the College
Supervision
Works under the supervision of the assigned department leader

Required Minimum Qualifications:
⦁ Bachelor’s degree and three (3) years’ working experience related to the Essential Performance Requirements; or any equivalent combination of education and work-related experience
⦁ One (1) years' working experience supervising (e.g., leading people, processes, programs, or projects that included planning, execution, and monitoring of outcomes)
Preferred Qualifications:
⦁ Master’s degree
⦁ Degree in Archives, Library Science, Information Technology, Records and Information Management, or a related field
⦁ At least one (1) year's working experience with information management in a higher education environment
⦁ At least one (1) year's working experience with Laserfiche
⦁ Professional certifications related to records management, information management, Laserfiche, or project management
⦁ At least one (1) year's working experience in archives, libraries, records management, information management, or a related field
Knowledge, Skills and Abilities:
⦁ Knowledge of records management, information governance, records retention, and applicable recordkeeping laws, regulations, and standards
⦁ Knowledge of records storage, retrieval, disposition, and lifecycle management practices
⦁ Knowledge of information management systems and technologies used to support records management programs
⦁ Skilled in customer service and building collaborative relationships with internal and external stake-holders
⦁ Skilled in verbal and written communication, including delivering training and communicating records management requirements
⦁ Skilled in using computer applications and enterprise systems, including Microsoft Office and records management platforms
⦁ Ability to analyze information, exercise sound judgment, and make recommendations regarding records management activities
⦁ Ability to coordinate multiple projects and operational activities while managing competing priorities and deadlines
⦁ Ability to maintain confidentiality and safeguard sensitive information in accordance with established policies and procedures
⦁ Ability to work effectively with and support cross-functional teams to achieve departmental and organizational objectives

While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually quiet.
